Property Operations Manager (Marbella)
The role:
My client owns a portfolio of luxury villas in Marbella for holiday rentals across Airbnb and other OTAs, as well as through agencies. They need a hands-on Operations Manager to own day-to-day performance. You will be the single point of contact for guests, cleaners, and contractors. You’ll run guest communications, check-ins/outs, turnovers, maintenance, listings, and compliance to deliver 5-star stays and strong occupancy.
Key responsibilities:
Guest operations:
Respond to inquiries and in-stay issues; manage pre-arrival, check-in, and check-out.
Verify guest details, apply house rules, handle deposits/claims, and resolve disputes.
Offer and coordinate add-ons (airport transfers, late check-outs, extra cleaning).
Turnovers and quality:
Build weekly cleaning and laundry rota; ensure linens and consumables are stocked.
Conduct pre-arrival QC inspections; arrange rapid fixes for snags before check-in.
Keep photo logs for condition and inventory control.
Maintenance and contractor management:
Coordinate routine and urgent works (handyman, HVAC, pool, garden, appliances, AV/Wi-Fi).
Source, brief, negotiate, and evaluate vendors; track warranties and service intervals.
Maintain a preventative maintenance calendar and work-order tracker.
Listings, pricing, and performance:
Keep listings accurate and compelling (photos, copy, amenities, house manuals).
Monitor calendars, minimum-stay rules, and dynamic pricing to hit occupancy/RevPAR goals.
Track comp set and seasonality; propose pricing/package changes.
Compliance and administration:
Reconcile OTA payouts, vendor invoices, deposits, and damage claims.
Produce weekly ops snapshots and monthly owner reports per villa.
Requirements:
2–4 years in short-term rental or boutique hotel/aparthotel operations managing 8–30 units or similar complexity.
Proven track record of high guest ratings (4.8+ overall; strong cleanliness scores) and fast messaging SLAs.
Hands-on turnover scheduling and vendor management experience.
Comfortable with evening/weekend rota and back-to-back turnovers, especially in high season.
Fluent Spanish and English; clean driving licence and own car; Marbella-based or nearby.
