Office Manager & PA (Legal)
This unique role combines the responsibilities of an Office Manager and Personal Assistant within a specialist international law firm handling major, complex litigation, arbitration and regulatory matters. The successful candidate will play a pivotal part in ensuring the smooth running of day-to-day operations while providing dedicated support to one partner and cover support to the rest of the associates when required.
Key Responsibilities
- Oversee office administration, including managing supplies, coordinating maintenance, and dealing with purchasing.
- Coordinate internal communications and support HR processes, such as onboarding new staff.
- Act as the main point of contact between the office and IT teams, including the IT Project Manager. This involves communicating office IT needs, reporting technical issues, and coordinating the purchase and installation of equipment.
- Maintain schedules, organise meetings, and handle travel arrangements for partner and associates.
- Assist the PA team, with preparing correspondence, reports, legal documents and court bundles, when required, ensuring accuracy and confidentiality.
- Manage diaries including arranging Zoom and Teams' calls, prioritise appointments, and support partners with their work and personal needs.
- Organise cover for Reception, who are the first point of contact for clients and visitors, ensuring there is always a professional and welcoming environment and assist with coordinating internal client lunches.
- Assist with billing, invoicing, and basic financial processes when required.
- Handle confidential information with discretion and maintain robust office filing systems.
Skills & Qualifications
- Previous experience in office management and/or as a PA, ideally within a legal environment.
- Excellent organisational skills, attention to detail, and ability to multitask.
- Strong written and verbal communication skills, with a professional phone manner.
- Excellent customer service skills.
- Proficiency in Microsoft Office suite and the ability to use other legal support software, once training has been provided.
- Ability to work independently and also as part of a team, where a confident and collaborative approach is required.
- Discretion and integrity in handling sensitive information.
Working Hours & Location
This is a full-time position, based in the firm's Gibraltar office (NO HYBRID OPTION). Standard working hours are Monday to Friday, 09:30–17:30, with the need for flexibility when required.
